Common Pains and Challenges Businesses Experience When Considering Systematization
Adi Klevit is the co-founder and CEO of the Business Success Consulting Group.
She helps businesses across a wide variety of industries—including professional, construction, manufacturing, medical, service, retail and more—systematize their businesses to run more efficiently and profitably.
Adi says business owners often express overwhelm when it comes to systematizing their business.
They ask questions like:
“Where do I start?”
“Where do I find the time?”
“How do I tackle it?”
“How do I get leadership and staff on board with the initiative?”
And so on.
As Adi shared:
“After all, you don’t want to spend valuable resources creating procedures that aren’t going to be implemented.”
And, she added,
“It takes know-how and ability to create clear and easy-to-follow procedures.”
In the past, some of her clients attempted to document procedures themselves, assign them to someone else on their team, and some even had them on their to-do list for a long time but just never got around to it.
Some had managed to get as far as creating binders or documents, but they weren’t being utilized within the company.
Adi observed several common themes as to why businesses failed to get their businesses properly systematized.
They Don’t Have the Know-How
Adi shared that procedures must be documented in a way that anyone can understand them.
They Lack Accountability and Persistence
Adi noted,
“Just like anything else, if you do not set aside the time to do it and you’re not being held accountable to doing it, it will not get done.”
Documents Couldn’t be Accessed by Everyone
Or no one knew where the binders or folders were that contained the systems.
Procedure Documents Weren’t Updated Regularly
When procedures aren’t updated, it can cause confusion.
Training and Coaching Were Not Provided to Team Members
So the processes and procedures were not followed by all.
The Eye-Opening Cost of Not Having Proper Systems in Place
Adi observed that clients often spent hundreds of hours trying to implement systems themselves, often unsuccessfully.
But Adi does not look at the hundreds of hours lost, but rather the lost potential revenue and profit from not having solid systems in place.
She noted:
“I have my clients calculate missed opportunities due to poor existing systems. I have them work out the potential revenue that will result from the growth and expansion as well as the lost revenue from a dissatisfied customer or lost bids that could have been prevented from systems. Those are often eye-opening numbers.”
Adi shared that there are several ways business owners talk about their company when it’s not adequately systematized:
- Chaotic and hectic
- Putting out fires all the time
- Constantly being asked to make decisions
- Having to repeat oneself over and over
- Being stuck working in the business
- High employee turnover rates
So why do her clients want to systematize?
Adi shared that it’s typically because business owners want to grow and scale their business or maximize the value and ensure continuity as part of an exit strategy.
For many, it’s an urgent need because they need to systematize to avoid burnout, stay competitive and responsive to the market, attract great talent, create a strong culture, and be able to exit the business.
Introducing Clients to a Winning Solution
As a consultant, Adi introduces her clients to SweetProcess as a go-to solution. She first came across it when she was searching for document management software for a client.
When asked whether she was skeptical of the solution, she noted that she was
“very impressed”
and added,
“As someone who writes procedures for a living, I was very excited to find this tool.”
She immediately recognized its value because she could see that she would be able to enhance her consulting by taking advantage of SweetProcess.
“The only skepticism I had was whether it would be easy for my clients to use it,”
asserted Adi.
Her skepticism was fleeting, however, after she saw the great results her clients got and how much they liked it.
She often gets comments like:
- “Wow, this is so easy to use.”
- “So elegant.”
- “So simple, it’s great.”
- “Everyone can log in and use it.”
- “It looks great.”
- “I can embed pictures and videos.”
- “It’s so easy to maintain and access it.”
To ensure it’s right for them, Adi’s clients usually start with a free trial, and the leadership team gives it a try.
She also shares examples of how she uses it with her other clients, and when they see how it can be used, the buying decision essentially becomes a no brainer.
“When it’s populated with processes and procedures, the clients are sold and they say, ‘I want that.’ It’s easy to visualize the possibilities when the content is in there.”
Adi’s process for helping clients is simple enough, but her expertise shines through in her methodical and detailed approach. She:
- Identifies processes that need to be documented.
- Maps the flow of processes in the company.
- Works with different team members on documentation.
- Sets due dates and keeps them accountable for getting it done.
- Trains and coaches on getting systems followed by everyone in the company.
How SweetProcess is Used to Make Dreams Come True
So, what results has Adi helped her clients achieve?
She began by offering that
“Our clients are accomplishing their dream of scaling their businesses in a sane and orderly way. We see it all the time. We hear it in the testimonials we get.”
She then went on to share the case of a client who owns a successful construction company.
He was working 60 hours per week and felt like he was the linchpin that held the company together. He didn’t know how he could possibly reduce his hours.
He had a strong desire to pass on the day to day management of the company and semi-retire so that he could travel and spend more time with his family.
He’d worked hard to earn his freedom but was unable to enjoy it because he was stuck and couldn’t see a way out.
Business Success Consulting Group helped him systemize his company by creating clear procedures for every aspect of the company—HR, marketing, sales, finance, project management, construction, and business development.
In addition, policies outlining the important rules and guidelines for the company were created and implemented.
As a result, he was able to pass the day to day management of the company to the general manager, and they are having their best year ever. They did not lose any business while systematizing.
The client is still involved in his business, but only by choice, because he loves the company. He got himself unstuck and doesn’t need to put 60 hours per week into the business anymore. His responsibility now is to be the visionary and advisor in the company, and he’s enjoying every minute of it. He achieved his dream of traveling the world and spending more time with his family too.
