Monthly Reminders
These are tasks we recommend you complete at least on a monthly basis (if not, more frequently), in order to keep yourself organized and up-to-date!
Depending on your preference, you can set reminders to complete these things more often!
** PRO TIP **
To remind yourself to complete these tasks once per month we recommend doing the following:
1) Block off a break in Jane on your schedule to remind you to do these monthly tasks
2) Use the "snooze" function in GMAIL to have an email pop up once per month that reminds you to complete these tasks, then simply snooze till the next month!

1Chart NotesSometimes it's easy to forget to lock a chart note or assign it to the correct appointment!
In order to ensure all your chart notes are complete, here's a process you can follow:
In Jane, Go to your staff member profile
Click "Charts"
Filter
Adjust filter by "Chart State"
Click "Draft"
Adjust filter by "Date"
Include this months date range
This will populate a list of all your chart notes that are not yet locked. Be sure that you assign an appointment to these chart notes, that they are completed, and then sign.

2Discharging Inactive ClientsIn order to keep your caseload up to date and to adhere to best practice as it pertains to termination, it's important to keep on top of discharging inactive clients.
Here's a report you can run to help you!
In Jane Go to Reports ->
Unscheduled Clients (Last Visit)
Filter by Days Since -> 2 months (60 days since last seen)
This will populate a list of clients you haven't met with in >60 days.
You can then proceed with the discharge process:

3UnpaidsTo ensure all your clients are 'paid up' you can run the following report:
Reports -> Sales by Staff Member ->
Filter by Invoice State -> Unpaid
Filter by Date -> Insert Date range
This will populate a list of all your clients who have not paid within the date range selected.
You can then move forward with sending the client a pay balance reminder or emailing them personally to pay (or both, in many cases).

Go to Client Profile -> Billing ->
Look for the pay balance button that has a little envelope on it - usually this is listed on the right hand side above the list of invoices.

4Update DatabaseKeep the admin team up to date on your availability an client referral information!
