Rachel - Office Space Audit
Your goal for this task is to make sure that any team members who have an in-person booking have reserved an office space on the office booking spreadsheet. This is a necessary task to avoid double bookings in the offices, now that the office has become very busy.
For this task, you need the Jane schedule and
the office booking spreadsheet found here: docs.google.com/spreadsheets/d/1zCny_T9n6wPpJ...
You'll go through each clinician who offers in person services one at a time and compare their schedules against the office booking schedule and look for discrepancies.
Many clinicians at rebound do not offer in person services , which means you don't need to check their schedules.
This is the list of clinicians who offers in person services as of Sept 16 2023. Every time we bring on new therapists, this list will grow, and I may not update it, so you'll have to keep on top of it.

Step 1: Select the clinician on jane, and view their schedule for NEXT week.
Look at their full schedule for next week and search for an in person session. If you find an in person session, check the office booking spreadsheet and confirm that they have booked that time slot in an office on the spreadsheet.
Step 2: Check for extra bookings
What this means, is while you're in the office booking spreadsheet, check to see if the clinician booked MORE ROOM SPACES Than they actually have booked in jane - meaning they booked the office for longer than they actually need it for.
Important note - If a clincian has booked a virtual or telephone session directly beside an in person session, that means that they will need an office space to complete that session (There's not enough time for them to leave the office and get home to complete that session if its booked directly before/after an in person session). My point is , that in these cases, in jane it wont show that they have booked an in person session for that sepcific time slot, but in the booking spreadsheet, it will, and in these cases that is okay.
Step 3: Inform clinician of any discrepancies
if a clinician has NOT booked off their time slot in the spreadsheet, but jane shows there's an in person booking
OR if a clinician has booked off extra time slots in the spreadsheet, that don't have a booking in jane to match, you need to inform them
and politely ask them to update it.
You contact them through G-Chat
Here's an example of what I'd say
"hey (clinician)! It looks like you have a couple tuesday rooms booked on the spreadsheet but no sessions to match! If you dont need them any more can you take them off the spreadsheet ? 🙂"
"Hey (clinician) ! Your in person sessions arent booked off on the spreadsheet for next friday! Are you able to update the spreadsheet? :) "
