Interviewing and Onboarding new hires

An important part of the manager role is identifying when the shop needs to hire. You'll have support from the corporate team as well. When it is determined that it is time to hire, the manager is expected to contact and conduct interviews with potential candidates. Guidelines and helpful information is available on the CHOP Admin portal

Managers are expected to reach out to potential candidates and try to schedule a call within 24hrs of receiving the candidate information. If the phone interview had potential, managers should schedule a in-shop/in-person interview within 72hrs of receiving the candidate information. If the candidate passes the interview and will be hired, managers should update the corporate team.

Termination

On occasion, it is the task of the shop manager to terminate staff. When this event occurs, complete the form on the CHOP Admin portal. Coordinate with the corporate team to remove the staff from Gusto and Squire when appropriate. It is best to terminate staff at closing rather than opening, with the explanation that it wasn't a good fit. 

Once terminated, managers should immediately disable the staff member in squire by removing all permissions in their profile.  Managers may also choose to change any Squire passwords to ensure the terminated staff does not have access.   

Scheduling

Mangers are expected to set a schedule for their shop's staff that aligns both with the availability of the staff and the needs of the shop's clients. Managers should routinely observe their shop's schedule for the following: 
  • Ensure no staff are on the floor alone.
  • Full time staff remain at 35 or greater hours
  • Part time staff do not exceed 35 hours
  • The shop is staffed as fully as possible during the shop's busiest hours
Staff schedules are typically set for a 6 month period and reviewed each January and July. Minor changes can be made when needed, at the manager's discretion. Managers are expected to keep an excel sheet of their staff's seat assignment and schedule up to date at all times and ensure all staff knows their schedule and working station for each shift.

Chair assignments

Although staff may work at the same station on a routine basis, permanent chair assignments are reserved for Legends only. Whatever chair a staff member uses, that staff is expected to protect and clean that station after each shift. 

Incentives

CHOP uses multiple incentives to encourage and reward positive behaviors from staff. Managers are expected participate in these incentives as directed by the corporate team and detailed in Sweet Process. 

Answering staff questions about weekly pay

Staff may have questions about their paychecks. Managers are expected to be the first point of contact for these questions. The Commission Payout report is a useful tool to better understand how a staff member's pay is calculated. Additionally, a staff member's pay is explained in great detail in their Gusto paystub available to staff via the Gusto mobile app.
