    Potential Template for Documenting/Tracking Building Level Legal Documents

      Notification of Court Document

      Office/school receives court paperwork (from parents or the court).

      Admin Review

      Admin team member reviews/interprets the legal court documents.

      (If there are any questions while interpreting the legal documents contact the Assistant Superintendent of HR for support.  Assistant Superintendent can contact legal if needed.)

      E-school Pop Up/Alert

      Language is drafted by the administrator and entered as a critical alert in e-school with the given expiration date (if that applies).

      Person entering the alert specifies their initials or name and date.  This specifies the most recent touch of the information and if Central Office or buildings received the information.

      Document Upload

      Document is scanned and uploaded (paperclip in top right corner of student summary page).

      Documentation

      Paperwork will be placed in a building level designated folder in the main office (not the child’s individual student folder).  The folder should be maintained for at least that school year.

      Updated Documentation/Alerts

      Administrator notifies stakeholders (i.e. teachers, clerical, admin, support staff) via email to check their updated e-school critical alerts/court documents pertaining to the identified student. 

      This is only to be shared with those involved with the student to maintain student confidentiality.

      E-School Contacts

      Parents/guardians should not be removed from e-school unless there is a court order or documentation that designates that the parent has lost their parental rights (educational decision making, school records,etc).  All of these cases must be verified with the HR Assistant Superintendent before altering e-school student accounts.

      Temporary Court Orders/Documents

      Temporary court documents are kept in an internal building file.  These are not placed as pop ups in e-school due to the nature of them being temporary.  However, administration needs to follow the process above of reading the documents and communicating with the appropriate stakeholders that need to know about the legal documentation/student impacted updates.

      Parent Follow Up

      Parent/Guardian is responsible for updating the school if new paperwork is filed.

      Student Records

      Legal documents are not sent to another school because they are not a part of the student’s record.
