Requesting Building Level Improvements/Changes/Removal of Items

      Submit Request for Improvement or Removal Form

      Fill out the Maintenance Request form with details about the requested improvement/changes. This includes any changes with whiteboards, painting, storage, etc. 

      If you are wanting to have removal of Textbooks, Instructional Resources, Furniture, Equipment - please complete Out of Use/ Excess Inventory for Removal form for items that are in value over $5,000. This form needs to be sent to the CFO. The request for out of use/excess inventory must be board approved before items are removed and/or disposed of. 

      If staff are moving classrooms or changing buildings, the staff member is responsible for boxing up all materials prior to moving. Moving supplies can be requested via Facilities Improvement Request form.

      If a request for painting in areas of the school, please complete the facilities improvement request form and meet with the Director of Operations before any supplies or work is to be started. 

      Include information such as the nature of the improvement, the expected benefits, and any relevant supporting documentation.

      Submit to Appropriate Department

      Submit the completed request form to the appropriate department responsible for handling building level improvements.

      If needed, consult with district supervisor for technology, operations, and maintenance for guidance on which department to submit the request to.

      Ensure the form is completed before any work starts or prep work for building improvement - minimum one week notice.

      Follow-Up and Communication

      Keep track of the progress of your request by regularly communicating with the department overseeing building level improvements.

      Follow up with the department for updates, approval status, and any additional information they may require.

      Respond promptly to any requests for further clarification or supporting documentation.

      Ensure open and clear communication channels are maintained throughout the process.

      Approval and Execution

      If the building level improvement request is approved:

      1. Coordinate with the appropriate department to schedule the implementation or execution of the improvement.
      2. Ensure all necessary resources, materials, and personnel are available and ready.
      3. Monitor the execution of the improvement to ensure compliance with the approved plan and any applicable regulations.
      4. Address any issues or challenges that arise promptly and effectively.
      5. Keep stakeholders informed of the progress and completion of the improvement.

      Note: If the request is not approved, seek feedback from the department to understand reasons for denial and explore potential alternatives or modifications to the request.

      Evaluation and Documentation

      Once the improvement is implemented:

      1. Evaluate the impact and effectiveness of the improvement based on the predefined success criteria.
      2. Document the results, including any positive outcomes, lessons learned, and areas for improvement.
      3. Share the evaluation and documentation with relevant stakeholders and the department responsible for building level improvements.
      4. Collaborate with the department to incorporate the findings into future improvement initiatives.
