Curriculum Work Preparation & Facilitation SOP
Administration needs a consistent process that ensures that paid curriculum work results in tangible products that enhance our curricular programs and that benefit all District 100 students.
Teachers need opportunities to contribute to enhancing the curriculum as well as to engage in collaboration between buildings.
Course and content teams need clear information as to the expectations associated with the use of time allocations budgeted for curriculum.

1Annual Planning/Process Review (Allocations)
Curriculum development allocations and extended contract limits are finalized (by the Director of Curriculum and other Admin) for the upcoming school year based on work needs (May/June).
NTO time needs are pre-entered in extended contracts. -
2ExpectationsIn July/August expectations for curriculum work, extended contract allocations, and curriculum development allocations for the current year are communicated (by the Curriculum Director) to all involved roles.

3Plan
Facilitator:
Content Leaders (HS), Instr. Coaches/PLC Leaders (MS), Instr. Coaches (ES)By October 1, a tentative plan for curriculum work is detailed within the facilitator’s extended contract with the understanding that it may be adjusted as needed within allocation limits throughout the year.
Work must be directly tied to the D100 Curriculum with examples including the development or improvement of: scales, work plans, enrichment experiences, projects, canvas modules or paths, curriculum guides, formative assessment tools, and tools that support universal design for learning. All products of these paid work opportunities are intended to be shared district-wide within course overviews.
Extended Contracts are filled in to match this expected time. -
4Alignment
In June the alignment of the strategic plan, district scorecard, and needed curriculum work will be reviewed (Curriculum Director/Admin).
The work planning and facilitation processes will be reviewed annually using feedback collected from facilitator roles. -
5Work Facilitation (Agenda)One week before the session, the facilitator emails an agenda for the work session (as a Google doc) to the Director of Curriculum.

6Sign in SheetPrior to the work session, a sign in sheet is created (by the facilitator) with the specific group, location, and meeting time listed. Compensation will be limited to the listed time.

7Sign In
During the scheduled work session, all attendees sign in with employee number and signature. If the facilitator will be paid through an extended contract, they should not sign in with participants.
In-progress (to be completed at a later time) and finalized products are linked into the course overview with edit access for Joy Bauman. Participants use the end of the meeting to update the course overview with any newly created tools or resources. -
8Completed Sign In Sheets
After the work session, The CL or IC will:
send the completed sign in sheet to the Dir. of Curriculum by interoffice mail,
highlight the event within the extended contract and verify that the total hours listed match the sign in sheet total. Ext. Contracts are set up to automatically notify both the administrator and payroll when you highlight. Directions for filling out the extended contract can be found as a tab within your personal document.

9Follow Up
The Director of Curriculum or other admin will:
Provide any questions, feedback, or follow up needs on the work within approx. 2 weeks,
Process the participant sign-in sheet and send to payroll,
Approve payment of extended contract time (if applicable) within the facilitator’s EC. This automatically prompts payroll to also view changes to the doc.

10Payroll
Payroll personnel will:
Set up the hours for payment,
Record the expected pay date in the extended contract.
