Security Measures for Large Elementary Events- (during school day)

    A large event would include 20 or more parents/guests in the building at one time for a single event.

      Background Checks

      At the start of the year, Main Office OPs and Admin will...

      • Send the Volunteer D100 form home to all families at the start of the year. 
      • Request that if parents anticipate volunteering/attending events; fill out the form.
      • Check Background Checks the first two weeks in September.
      • Create a volunteer spreadsheet. (Template)

      Large events can start end of September.

      Before an Event

      Teacher/Grade Level will propose event to administration.  Administration will work on the logistics of the event.

      Parent communication will include a review of the steps needed to be in the building (volunteer form/background check/ID).  Volunteer forms are accepted up to one week prior to the event.

      Office/Teacher will remind volunteers that they will need to have an ID the day of the event and what to expect the day of the event (pre-checked line/ Raptor line).

      Two weeks prior...
      • Final reminder that you need a background check

      One week prior...
      • OP/Admin print the updated list of volunteers with background checks
      • All other parents will need to use the Raptor system the day of the event

      Day of the Event

      Parents w/previously approved background checks can show their ID and enter the event.

      Parents w/out previously approved background checks would need to show their ID and then go through the Raptor system.  

      In general, office/entry area should be set up for groups of people (Raptor line and a non Raptor line).

      After the Event

      Add new Raptor participants to the spreadsheet.
