Proficiency Exam for Transfer Credits SOP

Building counselors and administration will follow the steps described below when a parent has requested their child receive credit for courses completed in a non-accredited program.

1Transfer Credit RequestStudent transfers in with a transcript from a home school or non-accredited organization, or a student who currently attends a D100 school wishes to receive credit from a non-accredited organization:
Counselor requests a copy of the transcript from the student & parent/guardian
Counselor determines if the awarding organization is on the accreditation list using Cognia- If the program is on the accreditation list, the student is awarded credits on their D100 transcript
- If the program is not on the accreditation list may continue with the proficiency exam process
If a student is enrolled as part-time home-school, they are eligible to receive a District 100 high school diploma using this process. -
2Request Additional InformationIf the program is not on the accreditation list, the counselor will do the following:
- Inform the student and parent about non-accreditation status and explain the Proficiency Exam process
- Request the following information: Name of educational resources used in the course and evidence of work completed in the course, such as written essays.

3Establish the Student’s Review TeamA review team will be established to determine if assessment is necessary and if so, the appropriate method for assessing the student
The Review Team will consist of:- Counselor
- All relevant Content Leaders (or designees) for the subject area(s)
- Building administrator (AP or AD)
- Director of Student Services/Career Readiness
- Cross-town team member
Review Team examines the transcript, student work, and textbook to determine if assessment is necessary and if so, the appropriate method for assessing the student- Note: D100 can only award credit if the course is one we are able to evaluate. If this is the case, the counselor will inform the parent/guardian.

4Proficiency Exam Process
- The counselor meets with the parent and student to outline the process and schedule the proficiency exam or tasks.
- Student completes the assigned exam or tasks.

5Review Team Examines Proficiency Exam(s)The student’s Review Team examines the results of the proficiency exam(s) or assigned tasks to determine if the student will be awarded the credit.
- If the student demonstrates proficiency on the identified standards, the student will be awarded the credit. (See #6)
- If the student does not demonstrate proficiency on the identified standards, the student will not be awarded the credit. (See #7) Note: The Review Team may elect to provide an additional opportunity for the student.

6Courses Added to the Student’s TranscriptIf the student has demonstrated proficiency in the course:
- Submit a transcript entry request to the building’s data processor
- The course grade will be entered as a P to indicate they passed the course and will receive the credit.

7Notification of Parent(s)/Guardian(s) of the DecisionFollowing the Proficiency Exam Process, the Principal (or designee) will notify the parent/guardian of the findings.
- Form Letter for parent/notification
- A copy of the letter, exam results, and pertinent data will be shared with the Director of Student Services/Career Readiness

8Appeals ProcessIf the parent/guardian wants to appeal the decision, they need to appeal it in writing to
the building principal within 5 school days of receipt of the form letter.- The parent/guardian submits a formal appeal to the building principal
- The Building Principal reviews the appeal, data, and exam/task to determine whether or not the student will be awarded credit
