Retention SOP

    *Based on research, it is unlikely that the child will be more successful if they repeat a grade level.  Research often shows lasting negative effects from retention.  That being said, there are cases where unique situations have occurred (i.e. major attendance issues- 50+ missed days in a year).

      Parent Request (for retention)

      Principal contacts the Assistant Superintendent to make her aware of the situation.


      Principal schedules a meeting with the parent and appropriate staff members (minimally principal, current teacher, and psychologist).  School based team shall discuss present levels of performance (for example: strengths, attendance, teacher observation, classroom and/or behavior data, etc).  Principal will share with parent that we can support the student at the age-appropriate grade level and the potential risks associated with retention.  Either a decision will be reached or more assessment data may be requested/collected for a follow up meeting.  Additional assessment data may include a retention scale assessment completed by the psychologist.  Light's Retention Scale can be utilized as additional data.

      Record Keeping

      Principal will memorialize the meeting and any decisions made through a typed letter to the parents. Keep letter on file at the school.  Update Assistant Superintendent.

      If the decision is reached to retain a student, Assist. Super. will inform the administrator in charge of registration in order to update the student’s status in eschool and also for State reporting.

      Placement Disagreement

      If team recommends the student remain with age-appropriate peers and the parent disagrees with the recommendation an additional retention scale assessment should be completed by the psychologist and the data reviewed with parent/team.

      If parent continues to disagree, contact Assistant Superintendent.

      Parent can submit a formal complaint to Central Office.  A meeting would be scheduled with parent, staff members, and Assistant Superintendent to be held at Central Office.

      Consult with other directors (Special Ed., Language & Culture) if students is on an IEP and/or receives EL services.   Invite directors to meeting, if one occurs. Facilitate meeting with parents and school based team.

      School Request (for Retention)

      When team is requesting a child be retained.

      Contact Assistant Superintendent.

      Prepare data requested by Assist. Super.

      * A meeting may be scheduled with the Assist. Super. and team to discuss additional interventions/data prior to moving forward in the process.

      Consult with other directors (Special Ed., Language & Culture) if the student is on an IEP and/or receives EL services.  Invite directors to meeting, if one occurs.
      Schedule a meeting with the parent and appropriate staff members (minimally principal, current teacher, and psychologist).
