1Annual creation of graduation cohort folder
Each year the Director of IT will create a shared folder for each graduation cohort
Students will be maintained in the cohort group to which they would graduate if they
graduate on time
Create the folder as one folder for all schools
The folder is only accessible to administrators through the google admin groups maintained by the IT Department
Delete the folder for the graduate cohort that is 9 years past their graduation year
Example: Class of 2024 will be deleted in 2033

2Identify school site admin
Each year school teams should review and identify:
Each school should identify the administrator(s) who will blur video when needed
Share the name(s) with ICT Coordinator (Christy Morgan) so she can create WeVideo accounts for them

3Save Video Files
When a video is used as part of an investigation and a decision is made to issue consequences, save the video clip of the incident to the shared folder - Shared Folder
Create a folder for the incident: student id - ddmmyyyy
Example 654321 - 02082024
Files will be re-named by adding the student id number in front of the file name generated by the camera system.
Example: 654321-(d-3-44) N-D WingRearHall-cam22024-02-08_12_16_10_731
Put all used camera views for this incident into the same folder
A unique folder should be created for each student for which the video was used as part of an investigation leading to consequences.

4Request to view video
When a request is received from a parent/guardian/student to review their video file,
Contact the Director of Students Services and Career Readiness to discuss the request
Use blurring software to obscure other students’ identity
Video captured by our camera system (Axis) can be blurred in Axis
For external videos (bus, phone, etc.) admin can contact ICTs for training support to use software (WeVideo - WeVideo basics, how to video) for blurring,
The blurred video needs to be stored in incident file
