How to Clean up Pop Up Notes in eSchool SOP

      Beginning of the YR

      Run the below search at the beginning of each year

      Review Process

      Go through the list with your administrator and address the alerts that are expired or obsolete

      • Remember the teachers can see them so we want to make sure that they are correct


      1. Critical Alerts - Show up in a Red Panel at the top of the student page in eschool.  (These are typically related to legal changes or court documents.)

      2. Personal Alerts - Only show up when you click on the  on the top right. (Something the parent/guardian wants the school to be aware of that is not legally binding.)  This is not as readily accessible and would not be utilized as often.

      Search Criteria

      (Search Criteria) In eSchool set up your criteria like the below.


      Advanced Search Criteria:

      • Demographic - Current Status - is in - Pre-registered, Active

      • Demographic - Building - equals - (your building)

      • Student Notes - Student Alert Type - is in - Critical Alert &/or Personal Alert


      List Field Selection:

      • Student Notes - Entry Date Time

      • Student Notes - Note Text

      • Student Notes - Note Type

      • Student Notes -Student Alert Type

      Verification Process

      Please go through all of your student alerts and verify if they are valid or not.

      See Example Below: 


      • Order of protection or legal documentation must be attached and expiration date is listed with your name/date entered.  

      • If notes are expired or obsolete, open them and change them to Personal if still applicable, and write expired and your name/date at the beginning of the alert for example.

      • If no longer applicable delete completely versus maintaining as a personal note.
