Schedule an Event on the Calendar

    Reserving a room or space at church is required. Ministry Directors are able to schedule rooms

      Creating the Event

      Enter the name of the activity or event.
      Schedule the actual time of the event. This is what will show up on the calendar. Do not include set-up or clean-up time here.

      If this event will be recurring, select Repeat and select the frequency.

      Note: If your event is the 1st and 3rd Monday of the Month, you will need to set up two separate events so that the repeat will work properly.
      Be sure to set an end date! Generally speaking, the end date should be May 31 or Aug 31 to match the program year scheduling.

      Event Details

      Event details are visible on the website calendar and the mobile app. Use this description to entice people to participate or other important information people need to know.

      You can include a link to an email or another website for more information.

      Form Links

      If a form has been created to go with this activity, link to it here.

      Button Text - What do you want the button to say? Typically, More Info or Sign Up Here or Want to Visit?

      Internal Notes

      These notes are not shown on the website calendars. They are visible on the desktop or on the SimpleChurch Leaders' App. This gives information to people in charge of set-up or other organizers such as contact details.

      Properties

      Properties control how the event is classified.


      Calendar -
      • Staff Information - Vacations, Birthdays, anniversaries, Staff Meetings.
      • Website - Any information that is shared to website and mobile app
      • Z-Not Public

      Ministry Focus - These properties are used with the group finder so that people can search for a group by specific categories.
      • Care
      • Children
      • Men's
      • Outreach
      • Women's
      • Worship
      • Youth

      Special Needs

      These 3 sections identify any special needs that the meeting will have. These automatically flag the event with a yellow highlighter so that they can be approved once the details are arranged.

      Contacts

      Contact Person - Name of person who is in charge of the event. This will place their contact information with the event file.
      People - Other people who are involved in the event, or event leader in the case of a large event.

      Rooms

      Select the room where the event will be held. If the room is already scheduled for use, it will appear greyed out and will have a blue ? next to it. The system will not allow you to double book an event.
      Needed from - these boxes default to Inherit (keep the same times as the event). If your event needs set up time or clean up time, you will need to indicate that here. For example, if you need 1 hour to clean up, be sure to put that time that you will be finished cleaning up in the needed box. This will eliminate having some other group trying to use the room before it is ready.

      Vehicle

      The church has a 12-passenger van that may be used by ministry leaders if they have received prior authorization. There is also a trailer which can be towed by the van. The van must be scheduled through the calendar.

      Save and End

      Save - Saves the event and returns to the calendar view
      Save & Continue - Saves the event and returns to enter another event.
