6.03 E-Mail and Internet Usage Policy

Team members are expected to honor our Core Values in their use of e-mail, including stewardship of staff member time, excellence in communication, and integrity in content. Passwords and/or Login Credentials are never to be sent, shared, or distributed via email for any reason. CHPC’s email addresses should not be used to sign up for non-work-related accounts to reduce exposure in case of third-party breaches (e.g. your coffee company’s rewards site was compromised). 

E-mail is a communication tool and users are obligated to use this tool in a responsible, effective, and lawful manner. Although by its nature e-mail seems to be less formal than other written communication, the same laws apply. Therefore, it is important that users are aware of the legal risks of e-mail: 
  • If you send or forward any e-mail with any libelous, defamatory, offensive, racist, or obscene remarks, you could be held liable and you will be subject to discipline. 
Copyrighted materials, belonging to entities other than CHPC, may not be transmitted by employees on the Internet. One copy of copyrighted material may be downloaded for your own individual business use in research. Users are not permitted to copy, transfer, rename, add, or delete information or programs belonging to other users unless given express permission to do so by the owner. 

All existing CHPC policies apply to employees’ conduct with e-mail, especially (but not limited to) those that deal with privacy, misuse of CHPC resources, sexual harassment, information and data security and confidentiality. Email is inherently insecure, and employees should not assume any level of privacy. 

CHPC reserves the right to inspect all files stored in private areas of the computer to ensure compliance with policy.
