Importing Songs from a CSV File

To quickly add songs to your songs library, you can format your song data into a comma-separated value (CSV) text file and upload that file.  It's a great way to get songs you have in another system into your account.

    Data That Can Be Imported

    Below is a list of the data that can be imported.

    • Title - song title (up to 254 characters).  This is the only required field in the CSV file
    • CCLI - CCLI number of that specific song
    • Author - up to 254 characters
    • Label - Publisher/label name (up to 254 characters)
    • Copyright - Year song was copyrighted
    • Lyrics - the lyrics of the song, which can include chords, if desired
    • Notes - any notes about the song that you wish to include
    • Length - typical run time of the song in the format of mm:ss
    • Key - Can be either a single key (examples: C, A#, Gb) or modulated (examples: A-B, C#-Eb)
    • Capo - Number, 1 through 12
    • Tempo - specific speed of song, in beats per minute, or general designation (slow, fast, moderate).
    • URL - Website link related to the song.  In the format of theSongsSite.com
    • Hymn - Hymn number(s)
    • Themes - up to 2 comma separated themes/categorizations of the song if any categories don't exist in your Service Planning account, they will be created.
    • LastScheduled - This is the date the song was last sung at your church, in the format of mm/dd/yyyy.  More information about this can be found below.

    Service Planning allows files to be stored with each song you create in library.  However, files CANNOT be uploaded as part of this CSV file import process.

    Import File Formatting

    For the import process to work correctly, the data must be formatted properly in a comma-separated values (CSV) file. It is important that the first row of the file contain be the exact column header names (as defined in the list above).  To assist with formatting this file, it is recommended you download the sample template file, which has the required column headers, sample data, and instructions.

    It is recommended you use a spreadsheet application to create the import file (or modify the template we've provided).  Be sure to save the file as a "CSV" type file.

    Last Scheduled Date

    If the "LastScheduled" column contains the date the song was last sung at your church, you and tell the import process to capture this data.  Having the date your church last sung the song is helpful in planning for future use of the song, and Service Planning makes it easy to see this data while planning.

    When you have the setting turned on (during the import process), an empty service will be created in your account with a location of "Data Import", with a date of the song's LastScheduled date, and a start time of 10am.  Only the song will be added to the service.
