Job Description - Director of Home Office

Major Areas of Focus

The DHO oversees all of the centralized and shared services that the home office provides to the company's business units. These include areas of finance, HR, insurance programs, corporate purchasing, recruiting programs, training systems, and the media team. The DHO assists the President with various compliance programs and systems, working closely with each Director of Operations

The DHO is a steward of ECF Culture and works closely with other Directors to support them with the resources of the Home Office. The Home Office desires all business units to closely adhere to the policies and procedures of the company. The DHO is a peer to other Directors and respectfully assists them with policy and procedure implementation. The DHO is a good leader, delegator, and capable of multi-tasking. 

These roles directly report to the DHO: Home Office Manager, Controller, Banking & Treasury Manager, Brand & Media Coordinator

  • Oversee Home Office infrastructure including facilities
  • General management of Home Office team members
  • Assist President with special projects that include areas of finance, system and process creation, training programs, and media initiatives
  • Support peer Directors with compliance and procedures
  • This role reports to the President 

Essential duties and responsibilities include the following. Other duties may also be assigned.


Home Office Operations

  • Maintain the organization and cleanliness of the Home Office
  • Issue policy and procedures updates to our Service Centers
  • Supports Home Office Manager with day-to-day Home Office operations
  • Oversees various legal matters and works with assigned attorneys to care for various business law, and civil matters
  • Ensures all corporate annual reports, and business licenses are up to date and on file across all business units, manages a renewal calendar

HR

  • Manages the payroll system, upgrades, programs, implementations
  • Manages all benefit programs including, health, dental, vision, life insurance, 401-K
  • Is the first response to employees resolve disputes and escalates matters to the President when required
  • Manages global uniform programs

Finance

  • Directs and supports Home Office Manager, Controller, and Banking & Treasury Manager
  • Manages the Intaact software system, upgrades, implementations, and training
  • Manages the Expensify software system, upgrades, implementations, and training
  • Assists President and Controller with the development of the Home Office annual budget, and the annual budgets of each Service Center/Region
  • Assists with various purchasing programs and initiatives managed by the Home Office

Risk Management

  • Manages accidents involving injury and workmen's compensation-related claims
  • Manages accidents and incident-related internal reporting, and related general liability claims
  • Maintains OSHA logs and reporting

Brand & Media

  • Directs all media-related operations and supports the Brand & Media Coordinator
  • Negotiates and maintains contracts with various media contractors
  • Oversees management of all cloud-based video and image archives and libraries
  • Supports production operations for special events
  • Directs all content management across all platforms including the corporate website

Systems & Process Management

  • Manages Office 365, OMNIA-SDS, and Samsara platforms along with associated user licenses,  upgrades, programs, and implementations 
  • Maintains updated records and policies on the Sweet Process platform and manages users, access, and policy/procedure distribution
  • Identifies opportunities to create and implement systems and processes to assist with better support to business units and create greater efficiencies 

Training & Development

  • Serves as the Training Committee Chairman
  • Oversees other company committees, including the Safety Committee
  • Builds and assists with building various internal safety, technical, and soft-skills training resources
  • Heads Home Office audit teams and oversees branch audits including, Egress and Ingress inspections. 

Leased & Owned Real Estate

  • Manages commercial leases, and renewals, and is representative for landlords
  • Conducts inspections at company-owned facilities and ensures our facilities are maintained at ECF 5s Standards
  • Ensures all property taxes are properly paid and maintains files of payments, manages a master calendar
  • Provides direction to Directors of Operations for various facility-related maintenance programs, upgrades, or requirements

Image Control

  • Ensure assigned fleet, personnel uniforms, grooming, facility cleanliness, and job sites meet our corporate standards of professional image
  • Conduct etiquette, behavior, and professional standards training to all subordinates
  • Ensure that all personnel are observing safety standards during working hours, at job sites, in public places, in transit, and at branch facilities, and such standards are clearly seen by the general public

 Language Skills

While performing duties, employees are regularly required to use written and oral communication skills; may read and interpret data, information, and documents; observe and respond to people and situations; learn and apply new information or skills; work under deadlines; and interact with others encountered in the course of work. Proficiency in English is required, and the ability to speak fluent Spanish is highly beneficial. 

Physical Demands

The employee frequently is required to stand, walk and sit.  The employee is occasionally required to use hands to finger, handle, or feel; reach with hands and arms; climb or balance; and stoop, kneel, or crouch.  The employee must occasionally lift and/or move up to 60 pounds.  Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus. Long working hours are required for emergency, urgent response or winter weather storm management operations.

Work Environment

While performing the duties of this job, the employee is occasionally exposed to wet and/or humid conditions, moving mechanical parts, fumes or airborne particles, toxic or caustic chemicals, and outside weather conditions.  The noise level in the work environment is usually moderate.

Travel & Development  

Travel throughout the market served by the Allentown Service Center, from time to time for purposes of training, the employee may be required to travel to other offices or training centers operated by East Coast Facilities, Inc.   

Security

The employee may not use illicit drugs during their employment with ECF. ECF operates in several high-security environments which require individuals who are able to pass security background checks. The employee is required to pass security background checks that meet our underwriting standards. The employee is required to have a valid driver's license and driving record that meets our underwriting standards. We reserve the right to reject an applicant or terminate an employee whose criminal or driving record fails to meet our underwriting criteria.
